Description and Requirements
Scope of Responsibilities:
Answers requests for legal documents and maintains departmental files in current structural hierarchies and formats.
Coordinates meetings & maintains managers' schedules; may facilitate and/or prepare for meetings as needed.
Preparation of Board books for several various Boards & Committees; may take minutes as needed.
Controls operational aspects of the department including Right Fax, lien requests, outside counsel invoice tracking, maintenance of the legal library, routing the daily mail, office supplies.
Documents proofreading, drafting, and editing in various software mediums.
Other duties as requested by department managers.
Screen calls for Chief Legal Counsel, works with CEO Executive Assistant as backup assistant in managing the phones and other administrative requests.
Minimum Qualifications:
Prior experience as an Executive Assistant or Legal Secretary preferably supporting a General Counsel or BigLaw Partner.
Proficient in using Microsoft Excel (macros, pivot tables) + Microsoft Word (creating letters and document editing) + Microsoft PowerPoint (creating/editing presentations).
Expert at working with legal documents (formatting).
Good working knowledge of using Adobe Acrobat (form creation/editing).
Basic knowledge of corporate governance and board meetings/books.
Must possess a High School Diploma/GED from an accredited institution plus relevant legal experience.
Must have the ability to work a hybrid schedule consisting of reporting to 100 Church Street every Tuesday/Wednesday/Thursday.
Preferred Qualifications:
Bachelor's degree from an accredited institution.
Experience with Board books/materials.
Experience with Icertis/Harvey/CounselLink.
Hiring Range*:
Greater New York City Area (NY, NJ, CT residents): $68,900 - $99,620
All Other Locations (within approved locations): $61,300 - $91,120
As a candidate for this position, your salary and related elements of compensation will be contingent upon your work experience, education, licenses and certifications, and any other factors Healthfirst deems pertinent to the hiring decision.
